The Royal Institute of Engineers (KIVI) is the professional association of engineers in the Netherlands. We are committed to supporting engineers in their professional practice and recognising the value of their work. We help engineers make connections with research, education, society and, of course, each other.

From the association building, our monumental 18th-century building, in the centre of The Hague, KIVI facilitates a variety of business meetings, including meetings, conferences, training courses and lectures. We do this not only for KIVI members, but also for municipalities, governments and other companies. The location combines a representative historical appearance with modern facilities and professional support.

To strengthen the Congress Bureau, KIVI is looking for a Congress Bureau Officer.

Job description

As Congress Bureau Assistant, you are responsible for accepting, processing and coordinating reservations for room hire. You will act as the first point of contact for internal and external clients and ensure correct administrative and organisational handling of meetings and events.

You also ensure a new stream of customers by connecting new booking platforms or entering into new collaborations with companies, hotels and training institutes in the area. You have a commercial mindset.

You work a lot independently within your role, but fall under the facilities team (4). You will report to the Facilities Manager.

What will you do?

  • Taking and processing bookings, reservations and quotations for meeting and event spaces;
  • Informing and advising clients on venue options;
  • Taking care of administrative processing, confirmations and invoicing;
  • Assisting in the preparation and execution of events;
  • Liaising with internal and external stakeholders.
  • Maintaining the online booking platforms
  • Tapping into new sales channels.
  • Working with the marketing team to create new campaigns to increase occupancy rates.

Your skill set

  • MBO/HBO working and thinking level;
  • 3+ years' work experience in a similar role;
  • Excellent communication skills;
  • Good command of Dutch and English in word and writing;
  • Demonstrable experience with Microsoft Office, especially Word and Excel;
  • Accurate, structured and customer-oriented working attitude;
  • Stress resistance and organisational skills.
  • A commercial background or commercial thinking skills
  • Experience within hospitality, event organisation or business services is a plus

Conditions

Employment type:

  • 32-40-hour fixed-term, one-year contract. After the one-year contract, chance of indefinite contract.
  • Salary: € 3,000 to € 4,000 (Depending on your knowledge and experience)
